Season sponsorships: create, renew and end

A sponsorship is the agreement with a sponsor for one season: what they give, on what terms and from when to when. You create and manage them in the "Sponsorships" tab of the sponsor's record, which shows every season, and each one has its own page with its benefits and instalments.

Create a sponsorship

1. On the sponsor's record, open the "Sponsorships" tab and select "Add sponsorship".
2. Choose the "Season". It comes filled in with the active season.
3. In "Team", choose a team from that season, or leave it empty if the sponsorship is the club's.
4. Choose the "Tier". Only active tiers are listed.
5. Choose the "Type": "Cash", "In kind" or "Mixed".
   • "Cash" and "Mixed" need the "Cash value".
   • "In kind" and "Mixed" need "What the sponsor provides" and accept an "Estimated in-kind value".
6. In "Starts" and "Ends", enter the agreement's dates. Leave them empty to use the season's dates. The end can't be before the start.
7. Choose the "Status". A new sponsorship starts "In negotiation".
8. With the Finance module active, fill in "Billing": the "Income category", "VAT", "Price includes VAT" and the "Payment term". Without an income category, payments can't be launched.
9. Add any "Notes" you want and select "Save".

The sponsorship's value adds the cash amount and the in-kind estimate. For an in-kind sponsorship with no estimate, the list shows a dash instead of €0.

Attach the signed contract

You attach the contract once the sponsorship has been saved.

1. On the sponsorship's row, open the menu in the "Actions" column and choose "Edit", or select "Edit sponsorship" on its page.
2. Under "Signed contract", select "Attach" and choose a PDF or an image, up to 8 MB. The file is attached straight away.
3. "Replace" swaps the file and "Remove contract" takes it off.

On the sponsorship's page, "View contract" opens the attached file.

Statuses

• "In negotiation": not closed yet, and doesn't count as contracted.
• "Active": in force. It counts as contracted and, as its end approaches, appears under "Up for renewal in 90 days".
• "Finished": ran its course and still counts as contracted.
• "Cancelled": didn't happen and doesn't count.

Payments can only be launched for an "Active" or "Finished" sponsorship.

The sponsorship's page

Select a row in the "Sponsorships" tab to open its page. The top sums up the "Sponsor", "Season", "Tier", "Value", "Starts" and "Ends", which are the sponsorship's own dates or, without them, the season's. Below, the "Benefits" tab holds what the club promised and the "Instalments" tab holds the payment plan.

Renew for another season

1. In the "Sponsorships" tab, open the menu in the sponsorship's "Actions" column and choose "Renew".
2. In "Target season", choose the season. Every club season is listed except the sponsorship's own.
3. Select "Renew".

The new sponsorship copies the type, the values, what the sponsor provides, the tier, the notes and the billing details; an archived VAT rate or an inactive income category doesn't carry over and is left to choose on the new one. If the sponsorship belonged to a team, the new one keeps the same team in the target season, or goes to the club if the team doesn't exist in that season. The signed contract, its own dates, the benefits and the instalments don't carry over, and the status goes back to "In negotiation". In the list, the new one carries the "Renewal" tag.

End or delete

The status doesn't change by itself when the end date passes. When the agreement is over, select "Edit" and change the "Status" to "Finished", or to "Cancelled" if it never went ahead. The sponsorship stays in the sponsor's history.

"Delete", in the "Actions" column menu, removes the sponsorship for good, with its benefits and instalment plan. Income that was already launched stays in Income. If the sponsorship had been renewed, the renewal still exists but loses its "Renewal" tag.
