Invite a whole team to the Portal
Updated on 26 October 2026
From the team page you invite the squad's athletes and guardians in one go, following each athlete's recipient, and see who is left out and why.

Instead of inviting athletes one by one, you can invite a team's whole squad to the Member Portal. Cantera prepares the list of who should receive the invite and you choose who goes ahead.
Invite
- In Teams, open the team and go to the "Squad" tab.
- In the side panel, under "Other actions", select "Invite to the Portal". The button only appears in an active season. On a phone, where there is no side panel, it is under "More" in the bottom bar.
- Review the list. Anyone "Ready to invite" is already ticked.
- Tick or untick whoever you like and select "Send" (the button shows how many invitations will go).
- At the end, the summary says how many were sent, failed or were skipped, and lists who could not be sent to. Anyone whose invite was created but whose email did not go out is listed apart, under "Invite created, but the email was not sent": the invite stays pending, and you can resend it by inviting the team again or copy the link on the record.
Each person receives the same email as an individual invite, valid for 14 days, in their language (their account's, if they already have one, or the club's).
Who is on the list
The team's athletes for that season are included, except archived ones. For each athlete, the Portal recipient decides:
- "Athlete": the invite goes to the athlete.
- "Guardian": it goes to every guardian linked to the athlete.
- "Both": it goes to the athlete and the guardians.
With no choice on the record, an under-18 athlete follows the team rule, if there is one; otherwise age decides (under 18: guardian; adult or no date of birth: athlete). The top of the dialog shows the team rule, or "Automatic, by age". For an athlete enrolled in more than one team, the rule of the primary enrolment's team applies.
A guardian with two children in the squad appears once, as "Guardian of" both.
Who is left out, and why
- "Already has access": the person already uses the Portal. Cannot be ticked.
- "No email": the record has no email. Cannot be ticked until you add one.
- "Invitation pending since" a date: they already have a valid invite. Not ticked; if you tick it, the invite is replaced by a new one and the old link stops working.
- "Same email as" another person on the list: the email matches someone who is already being invited (for example, the athlete with their father's email). Not ticked; check the records before ticking it.
Who still has no access
On the athlete list, with the Portal active, the "No app access" indicator counts the season's athletes where none of the people who should receive the invite (the athlete, the guardian or both) has been invited yet. As soon as one of them has an invite, even an expired one, or already has access, the athlete leaves that count; an athlete whose invite should go to a guardian but who has none linked is counted too. Below it, the indicator shows how many athletes have an invite pending. The "App access" column shows each athlete's most advanced status, or "No guardian" when the invite should go to a guardian and none is linked. Every guardian linked to the athlete counts, the same people the team invite goes to.
