Archiving and unarchiving an athlete

You archive an athlete when they leave the club, drop out or leave one of their teams. Nothing is deleted: the record, the history and the charges are kept, and you can unarchive them later.

Archive

1. In Athletes, open the athlete's record and, in the season and team selector, pick the enrolment to archive.
2. On the "Athlete" tab, select "Archive".
3. If the athlete is in more than one team that season, choose the "Scope": "Only this team" or "All teams this season". If your access is limited to some teams, you can only archive the whole season when every team the athlete is in that season is one of yours.
4. Check the "Date", which defaults to today. If you like, choose the "Decision maker" and write the "Notes".
5. Switch on "Cancel fees not yet issued" if the athlete should not pay for the following months.
6. If the archive leaves the athlete with no active team that season, the dialog warns you: "After this archive, the athlete has no active team this season." If there are charges not yet issued from the season's other teams, a second switch also appears, off, with the number of those charges. See below for when to switch it on.
7. Select "Archive".

You can also archive from the squad: in Teams, open the team, go to the "Squad" tab and choose "Archive" in the menu on the athlete's row.

The enrolment stays in the squad with the status "Archived", at the bottom of the list. The athlete no longer appears in that team's training attendance or in its fee series. If the archived enrolment was the primary and the athlete has another active one in the same season, that one becomes the primary and takes over the archived one's call-up recipient.

What happens to the fees

• Payment notices already issued stay active. If they are not to be collected, void them separately.
• Charges with no team and membership dues are not touched.
• Charges from the season's other teams, such as those launched before a team move (they stay linked to the old team), are only touched if the archive leaves the athlete with no active team that season and you switch on the second switch, the one for "charges not yet issued from other teams". The same rules apply: unpaid, not yet on a payment notice and dated after the archive day. If the athlete is still active in another team that season, the switch does not appear and those charges stay as they are.

Unarchive

1. In the athlete's record, pick the archived enrolment and, on the "Athlete" tab, select "Unarchive". In the team squad, it is the same option in the row menu.
2. If the archive cancelled fees, including other teams' ones, the dialog offers to reactivate them, from this month on. The option comes switched on; switch it off if the athlete is not paying again.
3. Select "Confirm".

Unarchiving only affects the selected enrolment: if you archived the whole season, each team is unarchived separately. The other teams' charges the archive cancelled only come back when you unarchive the enrolment you archived from. The status goes back to "Available", unless the athlete has an open injury, a school-related unavailability or the status you chose when closing their last injury. If the season has no primary enrolment, the unarchived one becomes the primary.
