Adding a product or a discount

Use "Add product" to charge for something once: a kit, a training camp, a tournament entry. To charge the same amount every month, use a launch series.

Adding a product

1. Open the person's account, or the "Finance" tab of their profile, from Members.
2. On the "Account" card, choose "Add product". The "Launch product" window opens.
3. In "Product", pick what you are charging for. The "Description", "Amount" and "VAT" are filled in from the product, and you can change them for this charge only.
4. Set the "Quantity" and, if there is a discount, the percentage in "Disc. (%)".
5. Turn on "VAT included" if the "Amount" already includes VAT; when it is off, VAT is added to the amount.
6. Choose the charge "Date" and the "Due date", the expected deadline for payment. Both start on today's date.
7. On the account page and the person's profile, you can link the charge to a "Season" and a "Team", or leave "No team". On the athlete profile these fields do not appear: the charge goes to the enrolment's team.
8. Check the "Summary" and choose "Launch", which shows the total.

Only active products from active categories are listed. The product is optional: without one, you type the "Description" and "Amount" yourself.

Discounts

A discount is a percentage of the charge itself, from 0 to 100, in "Disc. (%)". The "Summary" shows the base, the discount and the VAT before you launch, and the footer of the account summary adds up the "Discounts" of every charge that is not cancelled.

There are no negative charges: to give a product away, launch it with a 100% discount.

After launching

The charge is "Unpaid" and not issued yet: it is not debt and nobody is notified. It becomes debt once you put it on a payment note.

While it is not on a note, the row menu lets you:

• "Edit": change the product, the amounts and the dates. The team stays the same.
• "Cancel": the charge becomes "Cancelled" and is no longer charged. "Restore" brings it back to "Unpaid".
• "Delete": removes it for good, once you confirm.

On the account page, select several rows to cancel, restore or delete them in one go; on the "Finance" tab of a profile, selection only picks unpaid charges, to issue, cancel or delete. A charge already on a note is locked: to change it, cancel the note first.

One-off or in series

• Add product: one charge, once, for one person.
• Launch series: the same product, period by period, for a whole team, created on the product in Financial management › Income. On the athlete profile, in the "Finance" tab, "Launch products in series" launches an existing series for that athlete only, for example someone who joins mid-season.
