Numbering series and VAT rates
Updated on 21 October 2026
How payment notes and receipts are numbered, and which VAT rates products and income can use.
On this page · 2 sections
Every payment note and receipt carries a number from a series, for example NP 2026/12 and RC 2026/12. Notes and receipts are counted separately within the same series, and a receipt is always numbered in the series of the note it settles.
Creating a series
- Open Financial management › Series and select "New series".
- Enter the "Name", using letters and numbers only, for example 2027. This is what appears in the document numbers.
- If you like, set "Valid from" and "Valid until". They matter in the "Current year" mode of the default series.
- Leave "Active" switched on. Only active series number documents.
- Select "Save".
Before you save, the form tells you the effect: whether the series becomes the one in use today, whether another one carries on, and whether any days are left uncovered or overlap another active series.
At the top of the page, the banner says which series documents are issued in today. That is decided by the "Default series" on the Information page; the list marks that series "In use".
VAT rates
The Taxes page lists the rates by region. A new club already comes with the four mainland rates.
- Select "Add rate".
- Fill in the "Name", "Region", "Type" and "Rate (%)".
- Switch on "Default rate" if it is the one you use most. There can only be one, and it must be active.
- Select "Save".
The default rate is the one proposed when you create a product or an income. To change it without opening the form, select "Make default" on the rate's row: the change is saved straight away.
