Cancelling is how you correct a payment note or a receipt issued by mistake. The document is not deleted: it keeps its number in the series, marked as cancelled, with the date, who cancelled it and the reason.
Cancel a payment note
Only an unpaid note can be cancelled. A paid note already has a receipt: cancel the receipt first and the note becomes unpaid again. Nor can you cancel a note with an online payment still pending, such as a Multibanco reference already generated.
- On the person's account, under "Documents", select "View document" on the note's row.
- Select "Cancel note".
- Type the "Reason". It is required and stays in the document's history.
- If you wish, tick "Let the family know by email".
- Select "Cancel note" to confirm.
The note's charges go back to "to issue" on the account: they no longer count as debt, and the note leaves Debtors and income. You can issue them again on a new note with "Issue payment note", which takes the next number in the series, or delete on the account the ones that should not be charged.
Cancel a receipt
Cancelling a receipt undoes the payment: the note it settled goes back to "unpaid", its charges go back to "Unpaid", and the note counts as debt again, overdue if the due date has passed. If billing reminders are on, the note may receive them again.
- Open the receipt, from "Documents" on the account or with "View receipt" on the paid note.
- Select "Cancel receipt".
- Type the "Reason" and select "Cancel receipt".
To record the right payment, go back to the note and issue a new receipt with "Payment / Receipt". If the note itself was wrong, once the receipt is cancelled you can use "Cancel note".
