Online payments

With online payments, a family can pay a payment note without going through the club office. When the payment provider confirms the payment, the receipt is issued automatically and the note is marked as paid. You need the Financial Management module.

Before you start

Online payments are off by default. Turn them on in Payment methods, under "General settings":

  1. Turn on "Automatic payments" and choose the "Provider": EasyPay or Stripe.
  2. Fill in the credentials the provider gives you.
  3. With EasyPay, tick the "Payment methods" you accept: Multibanco, MB WAY and Card. With Stripe, the methods are decided in Stripe's own Dashboard.
  4. Choose the "Payment method on receipts": the catalogue method shown on receipts issued automatically.
  5. Select "Test connection" and then "Save".
  6. Once saved, the "Webhook URL" appears: copy it into the provider's dashboard. Without it, payments come in and Cantera never finds out.

With Stripe, the "Endpoint signing secret" only exists once you register the webhook, so setup takes two rounds:

  1. Save first with just the "Secret key". The status shows "Signing secret missing" and the "Webhook URL" appears.
  2. In Stripe, register that address under Developers › Webhooks and copy the secret it gives you.
  3. Paste it into "Endpoint signing secret" and select "Save". The status changes to "Connected".

Until the secret is in, no online payments are taken.

How a family pays

Only a payment note that has been issued and is still unpaid can be paid online. The family sees the "Payment" block on the note's page, which opens from the email link when you send the note, and in the Member Portal, if the club has the Portal module.

  • Multibanco: select "Generate reference" to get the "Entity", "Reference", "Amount" and "Valid until" date. Pay at a Multibanco machine or through online banking.
  • MB WAY: enter the "Mobile number", select "Pay" and confirm the payment in the MB WAY app.
  • Card: select "Pay" and finish the payment on the provider's page.

With Stripe, the family selects "Pay" and chooses the method on Stripe's page.

Once confirmed, the note shows "Payment confirmed. Thank you!" and no longer offers payment.

Tracking payments

Online Payments lists every payment attempt, with the "Person", "Document", "Method", "Amount" and "Status":

  • "Pending": waiting for the family to pay or for the provider to confirm.
  • "Paid": the provider confirmed the payment.
  • "Failed": the payment did not go through, or arrived with an amount different from the note's; the "Failure reason" column says why.
  • "Expired": a Multibanco reference nobody paid in time. That is not a provider failure.

Filter by "Status", "Method" and "Period". Alongside, you see what came in "By method" and, below the table, the "Success rate".

Needs manual reconciliation

At the top of the page, the "Needs manual reconciliation" panel gathers the payments the system could not close on its own. There are two kinds:

  • The amount paid differs from the note total. The payment is marked "Failed", no receipt is issued and the note stays unpaid. Select "View document" and settle the note by hand. The club's administrators also get a notification.
  • The club has not chosen a "Payment method on receipts". The payment stays "Pending" and no receipt is issued. Once you choose the method, the automatic check issues the receipt and the payment leaves the panel.

This panel ignores the filters: it is your work list.
