Annual budget

The Budget is a season's forecast of income and expenses, category by category. Next to each forecast you see the realised figure, which Cantera works out on its own from the money that actually moved. You need the Financial Management module.

Creating a season's budget

  1. In Budget, choose the "Season".
  2. On the "Create budget" card, choose the "Granularity": "Annual" (one amount per category) or "Monthly" (each line month by month, with the monthly treasury).
  3. Turn on "Split by team" if you want one tab per team in the season, plus a "General" tab for what belongs to the club.
  4. Select "Create budget".

If the season has no start and end dates yet, the page shows "Season without dates". Set them in Settings › Seasons and come back.

Budgeting the categories

  1. Pick the tab: "General" or a team. Without the team split there is only "Total".
  2. In the "Income" or "Expenses" table, select "Add category".
  3. Choose the "Category". Only the ones not yet budgeted on that tab are listed.
  4. For an annual budget, enter the "Annual amount". For a monthly one, fill in the "Monthly values", or enter the "Total to distribute" and select "Distribute" to split it across the months; then adjust each month.
  5. If you like, add "Notes" and select "Save".

To change a line, use "Edit" or "Delete" in the row menu. The categories are the same as in Finance: income categories come from Financial management › Income and expense categories from Financial management › Expenses.

Budgeted, realised and variance

  • Budgeted: what you forecast.
  • Realised: the money that moved within the season, by the date it was paid or received. It counts paid expenses, received income (one-off income and sponsorship instalments already received) and paid charges on people's accounts, such as monthly fees and membership dues. Income or an expense that is still unpaid does not count, even if it is already recorded. Income counts including VAT.
  • Variance vs. pace: what is realised minus what was expected at this point in the season, not minus the whole year's budget. For income, being above is good; for an expense, it is bad. Green always means favourable.

The realised figure is never typed in: it is worked out every time you open the page. A category with money but no line shows "no budget" and a "Budget it" action.

At the top, the "Overall picture" sums up income, expenses and balance, with the "Executed" share. On a monthly budget, the "Monthly treasury (budgeted)" shows the forecast balance month by month. "Off pace only" keeps only the categories that are off pace in the table.
